Data Extraction from Email

This page describes a real-life implementation we completed for one of our customers. The customer details are private, but the workflow is the actual pattern used in production: validate the sender, process supported attachments, extract the data with AI, validate the result, and keep the original document archived for review. Advanced ETL Processor Enterprise is a perfect fit for this kind of task because it combines email processing, file handling, Python integration, HTTP API calls, validation, database loading, logging, and scheduling in one self-hosted workflow.

Email data extraction works best as a controlled workflow

Email is convenient for customers and suppliers, but it is a poor system of record. Messages are forwarded, attachments are renamed, and someone always sends a spreadsheet called final_final_really_final.xlsx. In practice, the safest approach is to keep the raw message untouched, process only supported files, validate the result, and archive the source document for later review.

Data extraction from email workflow in Advanced ETL Processor

How it works

  1. Validate the sender: Check whether the From Email address is on the whitelist.
  2. Identify the customer: Determine the Customer ID from the sender's email address.
  3. Handle forwarded emails: Parse the email body to find the original valid From Email address when required.
  4. Select the customer manually: Ask the user to choose the customer if automatic matching fails.
  5. Save attachments: Store email attachments in a processing folder.
  6. Filter supported files: Process only PDF, CSV, and Excel files, and delete unsupported attachments.
  7. Prepare files for AI: Convert files into images and split large documents into manageable chunks.
  8. Extract data using AI: Submit chunks in parallel to an AI API endpoint.
  9. Combine the results: Merge extracted data from all chunks into one text file.
  10. Load data into the database: Validate the resulting file and load the clean data.
  11. Archive the original document: Copy the source file to an archive for review and verification.

AI extracts the data, but ETL still checks the result

The document chunks are submitted in parallel to an AI API endpoint. The extracted data from all chunks is combined into a single text file. That file is then validated and loaded into the database.

This is where ETL earns its keep. AI can read unstructured documents, but validation still decides whether required fields exist, whether values match expected formats, and whether the data is safe to load. Trust, but verify. Especially when the robot sounds confident.

Accuracy is high, but the archive still matters

The current data extraction process achieves approximately 99% accuracy. That is strong enough for serious automation, but not a reason to throw away the source document. The original file is copied to an archive so users can compare the extracted data with the source when needed.

Do not automate this process yet if sender rules, customer matching, file formats, or validation rules are still vague. Automation repeats your rules quickly. It does not make unclear rules clever.

Business usage examples

Supplier documents

Read supplier emails, save PDF or Excel attachments, extract order data, and load the result into a database.

Customer onboarding

Identify the customer from the sender, process attached forms, and keep the original file archived for review.

Shared mailbox processing

Monitor one mailbox, reject unsupported files, process valid documents, and keep failed items visible for support.

FAQ

Can Advanced ETL Processor automate email workflows?

Yes. Advanced ETL Processor can automate email intake, attachment handling, validation, transformation, sending, archiving, and logging in self-hosted workflows.

Do I need custom scripts for email automation?

No scripting is required for routine mailbox, attachment, validation, and sending steps. Configure the process visually, test it with sample messages, then schedule it.

Can attachments be saved and processed automatically?

Yes. A workflow can save attachments, validate filenames and content, archive the original message, and process the extracted files.

Can email automation load data into a database?

Yes. After the message or attachment is read, Advanced ETL Processor can transform the data and load it into supported databases.

Can I send automated emails from a workflow?

Yes. You can send notifications, reports, error messages, and row-based emails from the same controlled workflow.

How should duplicate messages be handled?

Define a duplicate rule before production: message ID, sender, subject, attachment name, received time, or a business key inside the attached file.

Can I try it before buying?

Yes. Download the fully functional 30-day trial and build a small mailbox or attachment workflow first.

When should I not automate email processing yet?

Do not automate it until sender rules, file formats, mailbox folders, duplicate handling, and failure handling are clear. Automation repeats rules; it does not repair a vague process.
